Position: Payroll Operations Specialist
Classification:Hourly off scale

Pay range: $35.58 - 42.79, Requires a four-year degree in accounting, business or finance; or significant relevant work experience.

Pay range: $32.90–$42.79. For other applicants with some relevant work experience and no degree.

Position Summary
The Payroll Operations Specialist provides exceptional payroll operational support and guidance to Home Office employees and U.S., Canada, and Puerto Rico locations regarding payroll policies and systems, such as SAP HCM, Workforce Central Scheduling/Timekeeping, Employee Self Service (ESS), BI Reporting, SuccessFactors, and Employee Central. This role helps administer company policies related to the input, tracking, and auditing of employee payroll and timekeeping data while exercising a high degree of confidentiality using good, independent judgement. Expected department hours are Mon – Fri, 6 AM – 4 PM, though different days/hours may be required.

Job Duties/Essential Functions

  • Responds to phone calls and email messages from Home Office employees, U.S. & Puerto Rico locations, and in-country Home Office Operations for Canada, Mexico and Australia in a timely, pleasant, competent, and professional manner.
  • Performs employee payroll maintenance functions using payroll systems.
  • Processes payments to employees, such as wage adjustments and final wages for separation of employment.
  • Manages and monitors employee garnishments, overpayments, and other pay-related employee data.
  • Works closely with other payroll teams to complete time sensitive tasks as required for the payroll close process.
  • Provides subject matter expertise and general system support (e.g. break/fix, minor enhancements, monitoring, testing, and troubleshooting).
  • Proactively and effectively communicates potential problems, recommends solutions, and provides progress updates.
  • Analyzes and helps bring resolution to complex people-management & payroll system questions/issues.
  • Collaborates effectively with teammates as well as other areas across the company.
  • Conducts thorough audits to ensure integrity and accuracy of employee payroll and timekeeping data.
  • Uses various reporting tools, such as SAP Ad Hoc Query, Business Objects, and SpinifexIT to run reports and analyze data.
  • Participates in the development of training materials, special projects for HR/Payroll systems or legal research, and/or user testing of HR/Payroll systems, as needed.
  • Ensures that all assigned department-specific documentation is completed and kept up-to-date.
  • Uses independent judgment and discretion to interpret and administer Employee Agreement and company policies as they relate to the input, tracking, and auditing of payroll procedures.
  • Develops and presents payroll training to location personnel via phone, webinar, or through written communications.
  • Looks for ways to improve processes and participates in cross training of duties within the team.
  • Helps monitor compliance with Fair Labor Standards Act (FLSA) and state laws.
  • Maintains a high level of confidentiality.
  • Regular and reliable workplace attendance at your assigned location.

Experience, skills, education & licenses/certifications
Required:

  • Strong technical PC and aptitude for learning new systems.
  • Excellent information-collection, evaluation, organizational, analytical/troubleshooting, and problem solving skills.
  • Basic-to-intermediate level using Excel or Google spreadsheets (create formulas/lookup tables, import data, link data between spreadsheets).
  • Basic-to-intermediate level using Google Docs (editing, proofreading, formatting, creating graphics).
  • Positive, professional demeanor with proven ability to communicate and teach system users and business partners effectively via phone and email across all levels of the company.
  • Ability to consistently maintain thoroughness, sense of urgency, and accuracy with excellent attention to detail.
  • Reliable and conscientious with a proven history of appropriately handling confidential information.
  • History of flexibly adjusting to rapidly changing direction or priorities while still prioritizing effectively.
  • Reliable and dependable attendance.
  • Dependable, self-motivated individual with proven history of seeing tasks/projects through to completion.
  • HIPAA certification, Pay policies. (within 30-days).

Recommended:

  • Costco location payroll clerk experience - either as main or back-up location payroll clerk.
  • Experience using Costco’s SAP HR/Payroll system (HCM) and/or Kronos/Workforce Central.
  • Proven customer service skills.
  • Proven ability to multitask in a high energy, dynamic, fast paced team setting.
  • Experience supporting operations in an administrative capacity.
  • Experience appropriately interpreting and following Costco’s Pay Policies and familiarity with the Employee Agreement.
  • Experience with business process documentation and/or training materials.
